SUMMARY

The Accounts Payable Supervisor is responsible for overseeing the daily operations of the accounts payable function across ECC and its affiliated entities, including HANH, Glendower, 360 Management Group, all entities managed by 360 Management Group, and other related organizations. This role provides leadership and hands-on oversight to ensure accurate, timely, and compliant processing of vendor payments while supporting the financial integrity and operational needs of a multi-entity organization.

This position plays a critical role in maintaining strong internal controls, positive vendor relationships, and efficient workflows. The Supervisor must demonstrate sound judgment, attention to detail, and adaptability in a fast-paced environment while ensuring adherence to accounting standards, company policies, and contractual obligations.

In addition to the core responsibilities outlined below, other duties may be assigned as necessary to support departmental objectives and organizational priorities.

 ESSENTIAL FUNCTIONS

Accounts Payable Operations

  • Oversee the full accounts payable cycle, including invoice intake, review, approval, processing, payment runs, and vendor account reconciliation
  • Ensure all invoices are properly coded, supported by appropriate documentation, and approved prior to payment
  • Review and approve processed invoices and payment batches to confirm accuracy, authorization, and compliance with policies
  • Manage accounts payable for operating entities, development payables, and tax credit transactions across all affiliated organizations
  • Ensure timely payment of all negotiated contracts in accordance with agreed-upon terms
  • Prepare 1099 forms for all required vendors at year-end.

 Team Leadership and Supervision

  • Supervise, train, and mentor Accounts Payable Processors, providing guidance, performance feedback, and professional development support
  • Establish clear expectations and maintain accountability for productivity, accuracy, and timeliness
  • Develop and maintain standardized procedures to support consistent and efficient AP operations
  • Foster a collaborative, detail-oriented, and service-focused team environment

Vendor and Interdepartmental Coordination

  • Serve as the primary point of contact for complex vendor inquiries and dispute resolution
  • Maintain positive vendor relationships while protecting organizational interests
  • Act as liaison between accounts payable functions across affiliated entities to ensure coordination and consistency
  • Collaborate with procurement, property management, accounting, and other departments to resolve discrepancies and ensure proper expense classification

Reporting, Reconciliation, and Controls

  • Prepare and oversee monthly reconciliations of aged accounts payable reports to the general ledger
  • Analyze AP accounts and activity to identify discrepancies, trends, and opportunities for improvement
  • Ensure all accounts payable reports, schedules, and files are accurate, complete, and up to date
  • Develop and implement process improvements to enhance efficiency, accuracy, and internal controls
  • Prepare AP-related reports and metrics for management review and communicate activities and issues to the Finance Manager

REQUIRED QUALIFICATIONS

Education and Experience

  • Associate’s degree in Accounting, Finance, or a related field with a minimum of five (5) years of high-volume accounts payable experience, including at least two (2) years in a supervisory or lead role
    OR
  • Bachelor’s degree in Accounting, Finance, or a related field with a minimum of three (3) years of accounts payable experience, including supervisory responsibility

*Experience managing accounts payable for multiple entities or affiliates is highly desirable

 

Knowledge, Skills, and Abilities

  • Strong analytical skills with the ability to review financial data, identify discrepancies, and implement corrective actions
  • Excellent written and verbal communication skills for interaction with vendors, team members, and cross-functional stakeholders
  • Demonstrated ability to manage multiple priorities, high transaction volumes, and tight deadlines in a fast-paced environment
  • Exceptional attention to detail and commitment to accuracy and timeliness
  • Sound judgment and discretion in handling confidential and sensitive financial information
  • Proficiency with accounting software and advanced Microsoft Excel skills
  • Yardi experience strongly preferred, particularly in property management and real estate development accounting
